What the audit covers
One process, step by step
Pick the job your team complains about most, such as entering invoices, copying web enquiries into a CRM or building the Monday report. We trace what starts it, who touches it and where it ends.
The systems involved
Xero, MYOB, HubSpot, Microsoft 365, a shared spreadsheet or an old database. We check whether each one has an API or export that an automation can use, and where a person still has to sign off.
Hours and error cost
A rough count of how often the task runs, how long it takes and what a mistake costs you. That gives a payback estimate you can test against your own numbers after the call.
A first project worth doing
Where to start, what a small pilot would look like and what to measure in the first month. If the process is not worth automating yet, we say so and explain why.
Who should attend
The person who does the process every week, and the person who approves spending on it. In a smaller business that might be the owner and the bookkeeper. In a larger one it is often an operations or finance manager with someone from IT who knows how the systems connect.
Before the audit
Write down the steps of the process as your team does them today, including the workarounds. Rough volumes help: how many invoices, orders, enquiries or reports a week, and how long each one takes. A sample document with names removed is useful if you want to show the format on screen.

Questions about the audit
Is the automation audit free?
Yes. The 30-minute audit has no charge and does not commit you to a project. If you later want a written scope or a fixed-price quote, we agree that separately.
Who will I speak with?
A consultant from the Yes AI group, the Melbourne company that builds and supports AI Automation. Your calendar invitation comes from the Yes AI team calendar and includes a video link.
Which times can I book?
Weekday starts from 9am to 6:30pm Melbourne time, so the call ends by 7pm, at least two hours ahead and not on Victorian public holidays. The picker shows each time in your own time zone, for example Brisbane (AEST) or Perth (AWST).
Do you need access to our systems?
No. Nobody logs in to anything during the audit. A screen share of the process, or a description of the steps, is enough. Please do not share passwords or customer records on the call.
What if we want several processes looked at?
Thirty minutes covers one process properly, or a quick look at two or three to pick the best starting point. List them in the booking notes and we will prioritise on the call.
How do I change or cancel the booking?
Reply to the calendar invitation or call (03) 9003 0111. Reminder emails arrive before the call, plus an SMS if you give a mobile number.
